Hey there! 😊 If you’re someone who has days filled with multiple back-to-back online meetings like I do, then you know the struggle of juggling between different platforms such as Zoom, Google Meet, and Microsoft Teams. It can be quite a challenge to navigate through these meetings without feeling overwhelmed. But fear not, because I’ve got some tips and tricks that can help you optimize your workflow and streamline your online meeting experience.
Here are some suggestions to help you better manage your tight schedule and make the most out of your online meetings:
## 1. Plan and prioritize your meetings
Before you dive headfirst into a whirlwind of online meetings, take some time to plan and prioritize your schedule. Here’s how you can do it:
– Use a calendar or scheduling tool to organize your meetings
– Allocate specific time slots for each meeting
– Identify which meetings are the most important and prioritize them
– Avoid overbooking yourself and allow for buffer time between meetings
By planning and prioritizing your meetings, you can avoid the chaos of overlapping schedules and ensure that you have enough time to switch between different platforms.
## 2. Use a centralized platform
Instead of hopping between multiple tabs and platforms, consider using a centralized platform that integrates with various meeting tools. This can help streamline your meeting experience and make it easier to switch between different meetings without any hassle.
Some popular centralized platforms to consider are:
– Microsoft Outlook
– Google Workspace
– Zoom’s native integrations with other platforms
These tools can help you manage your meetings more efficiently by providing a single interface to access all your meetings in one place.
## 3. Leverage automation and shortcuts
Save time and effort by utilizing automation and shortcuts to streamline your online meetings. Here’s how you can do it:
– Set up automated reminders for your meetings to ensure that you never miss a scheduled call
– Use keyboard shortcuts to quickly navigate between different meeting platforms
– Explore automation tools like Zapier or IFTTT to automate repetitive tasks related to your meetings
By leveraging automation and shortcuts, you can optimize your workflow and minimize the time spent on manual tasks during your meetings.
## 4. Communicate with your clients
If you find yourself constantly switching between different platforms to accommodate your clients’ preferences, consider having a conversation with them to streamline your meeting process. Here’s what you can do:
– Ask your clients if they have a preferred meeting platform and try to standardize your meetings based on their preferences
– Educate your clients on the benefits of using a centralized platform to make the meeting process more efficient for both parties
– Set clear expectations with your clients regarding your availability and the platforms you use for meetings
Open communication with your clients can help you establish a more structured approach to your online meetings and minimize the need for constant platform switching.
## 5. Invest in a reliable multitasking tool
Consider investing in a reliable multitasking tool that can help you manage multiple meetings simultaneously. Some popular multitasking tools to consider are:
– Asana
– Trello
– Notion
These tools can help you organize your meetings, tasks, and communication in one place, making it easier to juggle multiple online meetings on a tight schedule.
In conclusion, juggling multiple online meetings on a tight schedule can be challenging, but with the right strategies and tools, you can optimize your workflow and make the most out of your online meeting experience. By planning and prioritizing your meetings, using a centralized platform, leveraging automation and shortcuts, communicating with your clients, and investing in a reliable multitasking tool, you can streamline your online meetings and boost your productivity.
I hope these tips help you navigate through your busy meeting schedule more efficiently. Feel free to try out these suggestions and see which ones work best for you. Good luck with your meetings, and remember, it’s all about finding the right balance and making the most out of your time. Happy meeting hopping! 🚀📅
I’ve been through the same as a project manager. We use a few tools and subscriptions for stuff, but [Manganum](https://chromewebstore.google.com/detail/manganum-sidebar-with-gma/jbfeongihppeenfnaofmdeikahaefljd) would be my suggestion for you. It integrates all the platforms you’re talking about for quick access so maybe try that.
I’d say stick to the basics and manage your time better, rather than relying on more tools. This is more of a you problem imo
Hey, I have had not this problem but I listen to a video from a guy who had a similar problem.
He has a rule that his meetings only last 20mins maximum.
there is a clear agenda, everyone is prepared, there is a purpose for every call and clear for everyone after the call “whats next”
Sounds to me, you waste a lot of time having meetings but i could be wrong
Again, take that with a grain of salt
This won’t directly solve your joining multiple meetings issue, but a project management tool like Asana can help with overall time management. You can create tasks for each meeting and allocate time slots.
Use a good calendar, and be disciplined about your time. No tool can replace good time management skills. Google Calendar is already pretty great so i dont see the need for anything else
Maybe try Microsoft’s MyAnalytics. It tracks your meeting habits and suggests improvements.
Getting stuck in meetings all day really makes the day unproductive.
I’d suggest to make a meeting block, working block in your calendar. Don’t let anyone book outside that meeting block unless it’s too urgent.
This technique worked reall well for me.
Be transparent about your time constraints when communicating that you need to conclude the conversation at a specific time. It’s beneficial for them to be aware of your other commitments, such as meetings. Also I suggest keeping food and water handy.
If you also have a team to communicate with as another layer, I would suggest deskmy.com. It makes it easy to have your team and all work apps in the same place.
If not, you can search for Google extensions like Manganum, as mentioned, as they might do the job as a quick link sidebar.
Tools won’t help you. Just manage your time. Given that its all impromptu, if you can set expectations ahead of time such as, “I do have a hard stop at xxxx”. They’ll at least know the benefit of scheduling things in advance for the next meeting.
I tend to bookmark or pin my tabs. You can also place links inside of the browser or a sticky note… I’m surprised your google calendar or whatever calendar you’re using doesn’t alllow you to place a meeting link. I think that would be helpful for you
A really effective change that I’ve made was to switch away from 30m and 60m meetings to 25m and 45m meetings, and enforcing more strict agenda itemization for each meeting. On the agenda side, have a shared doc with all participants where each can itemize the talking points they would like to cover in the scheduled meeting. When adding an item, one should also add resources and material to understand the topic so that you can read beforehand and come ready to discuss and make decisions on the item. Participants can read up on the material in their spare time before the call, instead of using group time which is often unorganized and inefficient for that type of thing. Group time should be organized and actionable. Additionally, you can accomplish just as much on a 25 minute call as a 30 minute one, and the earlier hard stop allows you 5 minutes to process notes/next steps and transition to your next call. Additionally, most one hour calls can be compressed to 45 if they are done efficiently.
Cool! That´s gonna be so nice.
Make a clean calender and make the meetings not so long. It will create a breathable space. Download and use desktop applications for each platform. They often provide a smoother experience than web browsers and can help avoid tab clutter.
Use MeetingBar app to automatically join meetings that are in your calendar with the appropriate app. Configure each one differently if you like.

Sounds like you just need to manage your time better. Try wrapping things up 10 mins before the scheduled end of a meeting so you have time to prep for the next one
You have to cut it down to ones that really add value. If it’s clients, then charge more since you’re oversubscribed.
hi, sorry if this sounds very rudimentary answer. as guy who has been through this as well and have had many tabs open and done meetings on different platforms like webex, zoom, google meets and teams best way is to make sure that in your calendar the calendar invites have the link to the actual meeting room you will join independent of the platform and just access it and close the tab once the meeting is done. all platforms allow you to join any meeting room as a guess and without any need to sign up first. hope this helps. Wish you the best.
If you can, end your meetings 5 minutes earlier (xx:25 or xx:55). It lets you use the bathroom, get a drink, etc before your next appointment.
I suggest using a good calendar manager and making sure all appointments are booked through it. You can connect your manager to a single preferred platform so that most meetings happen on your account not theirs. Add padding between the meetings on your schedule. Start and end on time. This way you can take advantage of the padding.
i divide my time into parts, meetings, dev, sales, marketing, followups, etc. Day wise sometimes
1. Plan ahead ; 2. Prioritize and delegate ; 3. Communicate clearl DO NOT PROCRASTINATE trust me.
Better busy than bored. Maybe block out 15 minutes every hour gaps in your cal and bookmark your go to tabs 😆
